Terms & Conditions
These Terms & Conditions are designed to provide a clear and fair learning experience for students, families, teachers, and the Academy. They are arranged with the everyday matters first — cancelling a class, credits and payment — and the wider policies after.
1. Your agreement
By enrolling with Al-Muallim Academy, booking or attending classes, paying an invoice, or continuing to use the Academy's services, the student or their parent/guardian acknowledges that they have read and agreed to these Terms & Conditions.
These policies are intended to maintain a fair, organized, and reliable learning environment for all students, families, and teachers.
2. Cancelling a class, absences and make-up credits
Cancelling a class
Students or their families may cancel a scheduled class at least one (1) hour before the scheduled class time.
When an eligible class is cancelled at least one hour in advance, the class will not be considered an absence and one make-up credit will be added to the student's account.
The make-up credit may be used to book another available class, subject to teacher and schedule availability.
Late cancellations
If a student or family cancels a class less than one (1) hour before the scheduled class time, the class will be considered an absence.
The class will be counted as used. No make-up credit, refund, or account credit will be provided for that class.
No-shows and student absence
If a student does not attend a scheduled class and has not cancelled it within the permitted cancellation period, the class will be considered an absence.
Teachers will normally wait for the student for up to 15 minutes after the scheduled start time. If the student does not join within this period, the lesson may be closed and marked as an absence.
No make-up credit or refund will be provided for a no-show.
Make-up credits
An eligible cancellation made at least one hour before the scheduled class creates one make-up credit for the student.
Make-up credits may be used to book replacement classes and are subject to teacher and schedule availability. They do not guarantee the student's regular teacher or regular class time.
The same cancellation policy applies to make-up classes. If a booked make-up class is cancelled less than one hour before its scheduled time, or the student does not attend, the make-up credit will be considered used.
Unused make-up credits
If an eligible make-up credit remains unused, its applicable value will be returned to the family's Al-Muallim Academy account.
The amount may be applied toward a future invoice or subscription payment. An account credit is not automatically considered a cash refund to the original payment method unless otherwise agreed by the Academy.
3. Payments and billing
Monthly billing
Al-Muallim Academy operates on a teaching-month billing cycle.
A new invoice will be issued on the first day of the student's new teaching month, after the previous subscription period has ended.
The teaching month may therefore be based on the student's individual subscription cycle rather than the first calendar day of each month.
Payment deadline
Invoices must be paid within three (3) days of the invoice date.
If payment is not received within this period, Al-Muallim Academy may temporarily suspend upcoming classes until the outstanding payment has been received.
Suspension due to non-payment does not automatically guarantee that the student's previous teacher or class schedule will remain available. Families experiencing a payment issue are encouraged to contact the Academy as soon as possible.
Ending a subscription
A student or family may request to discontinue their subscription by contacting Al-Muallim Academy.
Any outstanding invoices or amounts already due remain payable. The Academy will review any remaining prepaid classes, eligible credits, or account balances and handle them according to the applicable cancellation and refund policies.
Ending a subscription does not create a refund entitlement for classes already completed, missed, or marked as absences under these Terms.
4. Your classes and schedule
Classes and scheduling
Classes are conducted online through the platform approved by Al-Muallim Academy, such as Zoom.
Students and families are responsible for joining their classes at the scheduled time and having a suitable device, internet connection, and environment for attending the lesson.
Regular class schedules are agreed upon based on student and teacher availability. Requests to permanently change a student's regular schedule may be submitted to the Academy and will be accommodated where possible, subject to teacher and schedule availability.
Student late arrival
If a student joins late, the teacher will continue the lesson for the remaining scheduled time. The class will still end at its originally scheduled ending time. Additional time is not guaranteed when the student is late.
Schedule changes
Students or families may request changes to their regular class schedule. All schedule changes are subject to teacher availability, available class times, and the Academy's scheduling capacity.
Al-Muallim Academy will make reasonable efforts to accommodate requested changes but cannot guarantee a specific teacher or time slot.
Teacher assignment and changes
Al-Muallim Academy may assign or change a student's teacher when reasonably necessary because of teacher availability, leave, scheduling changes, emergencies, operational requirements, or other circumstances.
The Academy will make reasonable efforts to maintain continuity and provide an appropriate teacher for the student's program and level.
5. When the Academy or the teacher cannot deliver a class
Academy or teacher cancellation
If Al-Muallim Academy or the assigned teacher needs to cancel a scheduled class, the student will not lose that class. A replacement class or make-up credit will be provided.
A class cancelled by the Academy or teacher will never be recorded as a student absence.
Teacher late arrival
If a teacher is late, the Academy will make reasonable arrangements to ensure the student does not lose the lesson time. This may include extending the lesson when possible, arranging replacement time, rescheduling the affected portion, or providing an appropriate credit.
Technical and internet problems
Students and families are responsible for maintaining a suitable internet connection and device for online classes.
If a class cannot be completed because of a technical issue on the student's side, the class will normally remain counted as scheduled.
If a significant technical issue occurs on the teacher's or Academy's side and prevents the class from being delivered properly, the Academy will arrange appropriate replacement time or provide a make-up credit.
The Academy will assess unusual or widespread technical problems reasonably on a case-by-case basis.
Academy holidays and closures
Al-Muallim Academy may announce holidays, Eid schedules, temporary closures, or changes to normal teaching hours.
When the Academy cancels a class because of an official Academy closure, the affected student will not lose the class. Appropriate replacement arrangements or credits will be provided where applicable.
Families will be informed of planned closures whenever reasonably possible.
6. Class recordings
All classes at Al-Muallim Academy are recorded. Recording is part of how the Academy operates and is not optional.
Recordings are made for quality assurance and documentation: so the Academy can review teaching quality, resolve any question about what took place in a class, and so that a student and their family can watch the lesson again.
By enrolling with the Academy, booking or attending classes, the student and their parent or guardian consent to classes being recorded on this basis.
When recording is on, the class is recorded in full, including both the teacher and the student, and the recording is stored in the Academy's own Zoom account.
Recordings are available in the Academy portal to the student, their parent or guardian, and Academy administrators. Teachers do not have access to recordings.
A recording is kept for 30 days after the class and is then deleted automatically.
Recordings are provided for the family's personal use. They must not be shared publicly, posted online, or passed to anyone outside the family, as they contain the teacher's image and voice as well as the student's.
Technical problems can occasionally prevent a class from being recorded. The Academy cannot guarantee that every class will produce a recording, and a missing recording is not grounds for a refund or a make-up credit.
7. Your personal information
The Academy collects the information it needs in order to teach: the student's name, age and learning level, contact details for the parent or guardian, attendance, lesson reports, invoices and payments, and recordings of classes.
This information is used to run classes, record progress, issue invoices and contact families. It is not sold. It is not shared outside the Academy except with the services used to deliver the classes and communications, such as the Academy's video platform and email provider.
Access within the Academy is limited by role: a teacher sees the students they teach, a parent sees their own children, and administrators see what their role requires.
A family may ask to see the information the Academy holds about them, to have it corrected, or to have it deleted, by writing to [email protected]. Records are kept while the student is enrolled and for a reasonable period afterwards for accounting purposes.
8. Conduct and responsibilities
Respectful conduct
Students, parents/guardians, teachers, and Academy staff are expected to communicate respectfully.
Harassment, abusive language, threats, inappropriate conduct, or serious repeated misconduct will not be accepted. The Academy reserves the right to suspend or discontinue services in serious cases of inappropriate behavior.
Student and family responsibilities
Students and families are responsible for attending classes at the agreed times, cancelling within the permitted period when necessary, maintaining accurate contact information, paying invoices within the required period, providing an appropriate device and internet connection, and communicating respectfully with teachers and Academy staff.
Parents or guardians are responsible for managing these obligations on behalf of younger students where appropriate.
9. Changes to these terms
Al-Muallim Academy may update these Terms & Conditions when reasonably necessary to reflect changes to its services, scheduling, payment procedures, or Academy policies.
When material changes are made, the updated Terms & Conditions will be made available to students and families. Changes will apply prospectively from their stated effective date.
